[ARCHIVED] Administative Assistant - Fire Department

The Village of Chicago Ridge is accepting applications for an Administrative Assistant in the Fire Department. The position performs a variety of clerical duties providing administrative support to Fire Administrative personnel including processing accounts payable/receivables, responding to telephone inquiries, providing customer assistance, data input, and serves as the recording secretary for meetings. This positions is subject to a six month performance review.

The position requires an enthusiastic individual who possesses excellent organizational skills, strong clerical skills, is detailed-oriented, and interested in performing a variety of functions. The individual must interact well with the public and staff and be able to communicate effectively both verbally and in writing. Preferred skills, knowledge and experience with the following are highly desirable:
~The Administrative Assistant under the direction of the Fire Chief prepares any official correspondence and maintains the official records of the department.
~The Administrative Assistant shall be designated as the Department FOIA Officer and will also release copies of fire and EMS reports upon written request.
~The Administrative Assistant shall be responsible for overseeing departmental billing as it relates to all aspects of the department.
~The Administrative Assistant will also serve as payroll administrator for the Fire Department and work with the Village Payroll Clerk to prepare any payroll reports.
~The Administrative Assistant shall maintain all personnel files, including disciplinary files.
~Upon request from the Chief, the Administrative Assistant will prepare information to assist the Chief in the administration of discipline, such as pulling prior disciplinary records for the employee and for any comparable disciplinary situations.
~The Administrative Assistant shall maintain all grievance files. Upon request from the Chief, the Administrative Assistant shall prepare information necessary to respond to grievances, including information regarding comparable cases.
~The Administrative Assistant shall participate in collective bargaining negotiations and serve as the Village’s note-taker in all such negotiations. The Administrative Assistant will also attend caucuses on behalf of the Village and participate in discussions regarding potential Village offers and counter-offers. The Administrative Assistant will assist the Village’s bargaining team by preparing information necessary to analyze the cost of various bargaining proposals and potential proposals.
~The Administrative Assistant will also assist the Chief and Deputy Chief in preparing the annual Fire Department budget and maintain budget and financial records for the Fire Department.
~The Administrative Assistant will also coordinate the supplies and overall management of the administrative offices of the Fire Department.

The Administrative Assistant shall perform all other job duties which may be assigned by the Fire Chief from time to time.

The successful candidate must have a high school diploma or GED equivalent. In addition, this position requires a minimum of related clerical/administrative experience.

The position is, on an average, a 30 hour per week position. Salary is dependent on experience and qualifications.
